Resolving Common Error Codes

IAW201

The W-2 filename must follow this pattern:
IAW2, hyphen, log-in BEN, hyphen, Control #, Period, and “txt"

*Control# equals the current year (2019) followed by a three-digit sequence number OR file creation date and time*

Examples:

  • Control# equals the current year followed by a three-digit sequence number. This example is the first file uploaded in 2019:
    IAW2-12345678-2019001.txt
  • Control# equals file creation date and time. This example depicts January 23, 2019 2:30 pm: IAW2-12345678-201901231430.txt

Each file name must be unique. If you need to upload a second file, then you must change the 3 digit sequence number or the creation date/time at the end of the file name.

For example: IAW2-12345678-2019002.txt or IAW2-12345678-201901231530.txt

IAW202

The BEN number in the file name must match the BEN used to log into eFile & Pay.

If you’re a bulk filer using your own eFile & Pay account to submit files on behalf of your clients, then your BEN # must be listed in the file name.

IAW203

Each file name must be unique. If you’re uploading additional files, then you must change the 3 digit sequence number or the creation date/time at the end of the file name.

For example: IAW2-12345678-2019002.txt or IAW2-12345678-201901231530.txt

IAW204 through IAW2016

These errors advised the formatting of the file is incorrect. This is common when the software being used does not support electronic filing of W-2s to Iowa. Contact your software provider and confirm if your software version supports electronic filing of W-2s to Iowa. If it does support Iowa, then they will need to walk you thru how to create a W-2 file for Iowa to ensure you’re doing it correctly.

IAW231 and IAW232

The majority of these errors are caused by the user inputting the Federal Employer Identification Number (FEIN) into the State ID Number field. The Iowa Withholding Permit # should be listed in the State ID Number field. The permit number is always 12 digits long (example: 123456789001). Do not key in hyphens or dashes (-) unless your software requires them. Depending on the software, you may have to input this data when creating the file, or it may be listed the company profile information of the accounting software.

IAW241 and IAW242

These error codes will populate with IAW231 and IAW232 error codes. Their usually caused by the user not inputting their BEN number when creating the file. Contact your software provider to confirm where to input your BEN when creating the W-2 file. You will also want to check the withholding permit number to ensure it’s correct. If the withholding permit number is incorrect, then refer to the IAW231/232 notes above.
